Who is responsible for your data
Ghost Crewing Ltd is the data controller. Registered in England and Wales, company number 17372210, registered office 15 Neptune Court, Vanguard Way, Cardiff, CF24 5PJ. Data questions go to info@ghostcrewing.co.uk.
Because enquiries and applications arrive from outside the UK, this policy is written to the stricter of UK GDPR and EU GDPR and applied to everyone equally, rather than only to UK residents.
Agency enquiries
When you send an enquiry or complete the guided project brief, we collect your name, agency or company name, email address, phone number, and the project detail you choose to give us: type of work, install locations, number of sites, target dates, artwork status, site access notes and your written brief.
This is used to answer the enquiry, produce a quote, and run the job if it goes ahead. It is not used for marketing, and it is never used to contact your client.
Installer applications
The subcontractor application collects more than an enquiry does: your name, phone number, email address, country and base location, travel radius, years of experience, specialisms, certifications held, whether you hold your own public liability insurance, whether you are self-employed and tax registered, your availability, and a link to examples of previous work.
Insurance status and tax registration status are commercially sensitive, and are treated accordingly. They are used only to assess whether you can lawfully be engaged as a subcontractor. They are not shared with agencies, not published, and not used for any other purpose.
If you are engaged for work, certification and insurance documents are requested and held for the duration of the working relationship as a record of due diligence.
Lawful basis
- Consent, given by ticking the box on either form, for storing and responding to what you send. Neither box is pre-ticked, and you can withdraw consent at any time.
- Contract, once a job or a subcontract engagement is agreed, for the data needed to carry it out and invoice for it.
- Legal obligation, for records that tax and company law require us to keep.
How long we keep it
Ask for earlier deletion at any point and it will be actioned, except where a legal obligation requires the record to be kept.
International enquiries and applicants
Ghost Crewing works internationally, so enquiries and applications arrive from outside the UK and the EEA. Where data is transferred outside the country it was collected in, it is protected by the standard safeguards used by our suppliers, and the same retention periods and rights above apply to everyone regardless of where they are based.
Your rights
You can ask for a copy of what we hold, ask for it to be corrected, ask for it to be deleted, object to how it is used, ask for it to be restricted, or ask for it in a portable format. Where processing is based on consent, you can withdraw that consent at any time.

Complaints
Raise it with us first and it will be dealt with directly. If you are not satisfied, you can complain to the Information Commissioner's Office in the UK, or to the supervisory authority in your own country.
